To those who are new here, welcome to Draftboard! Whether you're a new Scout eager to dive into the world of talent scouting or a company looking to enhance your recruitment strategy, this guide will help you navigate our platform with ease. We'll break down essential terminology and explain how Draftboard operates to ensure you maximize your experience and success on our platform.
Key Terminology on Draftboard:
Scouts
A Scout is what we call recruiters, and they're a pivotal player on the Draftboard platform. Scouts leverage their networks to share job opportunities listed on Draftboard. They are responsible for reviewing each candidate’s application and deciding whether to approve or reject them. This gatekeeping role ensures that only the most suitable candidates are forwarded to hiring companies.
Candidates
Candidates are individuals who apply for job openings listed on Draftboard. They could be actively seeking new opportunities or might be passive candidates referred by Scouts.
Companies
Companies on Draftboard are the organizations that list job openings and set referral bonuses. They benefit from an expanded reach through Scouts who share their job postings within their networks. Companies can adjust referral fees at any time and seamlessly integrate Draftboard with their existing Applicant Tracking Systems (ATS), if they have one.
Reputation Score
The Reputation Score is a metric used to evaluate Scouts based on the quality of candidates they refer. Similar to an Uber rating, it ranges from 1 to 5. A higher reputation score indicates a higher quality of candidate referrals, which increases the chances of candidates being considered for interviews. All Scouts start with a default score, which improves as more of their referred candidates secure first interviews.
Other Terms and Common Questions:
What is an ATS?
An Applicant Tracking System (ATS) is a software application that enables the electronic handling of recruitment and hiring needs. It is used by companies to manage the entire hiring process, from receiving applications to onboarding new employees. An ATS helps streamline recruiting by automating various processes such as posting jobs, tracking applications, filtering resumes, and communicating with candidates.
Scout Notes
Scout Notes is a unique feature that enhances the candidate referral process. After approving a candidate, Scouts have the option to add additional information or context about the candidate in a pop-up window. This extra insight can significantly increase a candidate's chances of landing an interview, as it provides hiring managers with valuable context beyond the resume.
Tracking: How do I know if my candidate gets hired?
Seen on the ‘Tracking’ tab on Draftboard, it serves as a central hub to manage and monitor your referrals effectively. It provides visibility into the referral process, allowing you to oversee and control the journey of your candidates in real time. This is where you’ll be able to see the progress of all your candidates.
I approved an application a while ago, but don't see a change in status. Why?
If you approved an application but haven't observed a change in status, it's possible that the hiring company is yet to update the overall status of the application in their system. The status will remain unchanged until the company takes further action, such as scheduling an interview or making a final decision. For more detailed information, feel free to reach out to the support team, who can provide insights into the specific progress of the application.
JobSync (for ATS companies only)
The JobSync feature is a powerful tool that allows companies to automatically post newly added jobs from their Applicant Tracking System (ATS) directly onto Draftboard. By enabling this feature, you can streamline your hiring process, ensuring that your job openings reach a broader audience and get more exposure to potential candidates.
How do I get paid as a Scout?
Draftboard offers a straightforward and rewarding payment process for Scouts. Here’s how you get paid:
- Candidate Hired: Congrats! When a candidate you referred gets hired by a company through Draftboard, the company will pay you the referral fee once the probation period ends.
- Probation Period: The candidate must complete a probation period, which typically averages around 45 days.
- Payment Release: After the probation period, you’ll be transferred the funds to the bank account you connected to your Draftboard account.
- Earnings Breakdown: As a Scout, you receive 80% of the referral bonus. Draftboard takes a 20% fee for facilitating the process.

How Draftboard works (from a company perspective, one with an ATS)
- To onboard, you’ll be sent a link to finalize your company profile (takes a second). There's no platform fees, only pay a referral bonus if you make a hire!
- If you have an ATS that Draftboard currently works with (Workable, Greenhouse, Lever, Comeet, Ashby), in a few clicks you can authorize Draftboard to interact with your ATS environment and onboard in less than three minutes through our seamless integration. You'll enjoy automated job syncing and candidate applications will be sent directly to your ATS.
- Choose the roles you want to list on Draftboard - all of them, some of them, none of them, it's 100% your choice. And you know what else is your choice? Everything: you set the bonus amounts and the probation periods, and you can change them at any time.
- Scouts earn a higher Reputation Score (think of it like an Uber rating) the further their referrals advance through your recruiting process, so they have a strong incentive to filter out the bad ones before they even make it to your ATS. And you set a Reputation Score minimum for your roles so that only the best Scouts are even allowed to refer you candidates.
- Whether you hire 1 or 100 employees via Draftboard, we make it super simple for you to pay out the bonus(es): we invoice you and then - only after the Probation period - we pay out the Scout. We take care of W9s, 1099s and everything related to payments - it's seamless and easy for you.
